Payments

You can pay with a check or credit card. Checks can be made payable to “EXP Trips”, and must arrive to the EXP offices by the due date.

Any person making payments for themselves or others needs to first complete a Payment Agreement.

Electronic Payment: click the Payment button on your invoice, or visit the Payments page. All electronic payments incur a fee of 3%.

Complete a Waiver

All travelers need to complete a Waiver. Travelers under 18 have to have their guardian sign as well. This gives us all of the vital info we need, and makes sure we are all on the same page.

Complete a Group Registration Form

We ask that Group Leaders complete a Group Registration Form, to ensure the information we have is accurate. This is also the form that Group Leaders will use to communicate Rooming Assignments.

Traveler Form: Change or correct a name

If you need to correct a name, or change the name, we’ll need you to fill out this form before we can process your request. Remember, the policies within the Payment Agreement will determine whether or not we can honor your request.

Traveler Form: Substitute someone in your place

If you need to make a substitution, we’ll need you to fill out this form before we can process your request. Remember, the policies within the Payment Agreement will determine whether or not we can honor your request.

Traveler Form: Cancel your trip

If you wish to cancel your trip, we’ll need you to fill out this form before we can process your request. Remember, the policies within the Payment Agreement will determine whether or not we can honor your request.

FREQUENTLY ASKED QUESTIONS

Why only Student Conferences and New York trips?

Because we are insanely good at them! We’ve found that understanding what we’re best at, and sticking to it, has worked really well. Our travelers know that if they are going to a Student Conference or New York, we are the undisputed choice. We like that.

Will you do other types of trips?

Nope. But if you are heading to a Student Conference or New York, you know who to call! 🙂

We know some great companies that provide other types of travel too, so reach out to us anyhow and we’ll help find you the perfect partner for your trip.

Why so strict about payment deadlines?

It’s important stuff! Travel vendors don’t like late payments, it throws a wrench in the system, which in turn throws a wrench in our system. When you’re dealing with many many thousands of dollars in payments, the cost of being late adds up very quickly. You also risk being dropped by the airline, hotel, or other vendor. So, long story short, it’s the easiest way to make planning your trip go super smooth, avoid risky business, and late fees!

How long are quotes valid?

Two weeks from the time we deliver it to you. Prices become fixed when we receive your first payment and required forms (Payment Agreement, Waiver, Group Registration).

Are you an Approved Vendor for my district?

We might be. If not, we can become one very quickly. We’ll handle the bulk of that process, so don’t worry one bit!

What's included with the trip?

If you’re traveling to a Student Conference, check out the packages we have and that will show you exactly what’s included.

If you’re heading to New York, we work with you to create your perfect trip that includes everything you need and want. Most of our trips are all-inclusive with the exception of lunch and dinner, but we are happy to throw those into your quote as well.

Are you insured?

We sure are! Let us know if your district requires proof, and we’ll shoot it right over to them.

What is TripLeader?

TripLeader is an app that we developed and spun out of EXP Trips. It’s a platform for teachers (and other group leaders) to keep their participants safe, connected, and organized while on a trip.
